rate watch / checklist
Quote checklist
Nine things to put in writing before you send a quote for mapping, realtime or installation work.
Deposit
Ask for a deposit before production starts and write down when the balance is due (e.g. on delivery or after the show).
Scope
List exactly what is delivered: number of minutes of content, surfaces or screens, resolution, file formats, interactive behaviours, on-site days. What is not listed is not included.
Revisions
State how many revision rounds are included and what counts as a revision versus a new request.
Overage
Agree a day or hourly rate for work beyond the scope, and that changes are re-quoted in writing before you do them.
Usage rights
Say where, for how long and in which media the client may use the content (event only, one venue, a tour, social, advertising). Re-use beyond that is a new licence.
Gear rental — listed separately
Projectors, media servers, LED, sensors and cabling are quoted as their own lines (with who books, insures and transports them), not hidden inside your fee.
Software licensing
Check which licence a commercial or client project needs and who pays for it — e.g. TouchDesigner has non-commercial, commercial and pro licences.
Timeline & on-site
Milestones, delivery date, tech-rehearsal and install days, travel, per diems and accommodation.
Cancellation
What is paid if the project is cancelled or postponed after you have started.
This is a general checklist, not legal or pricing advice. Contracts vary by country.
